We have just received your letter complaining about the poor service of one of our staff members and would like to convey my apologies for the bad experience that you had come crossed in your recent visit to my restaurant. However, we are thankful to you for writing it back, and highlighting the issue to take the necessary steps, and avoid such an unpleasant situation in the future.

Pleased to inform you that we had a counseling session with the respected waiter, gave him a written warning, and nominate him for outdoor training to learn how to treat customers professionally. I hope the actions taken against the particular staff would be satisfactory, and we would like to offer you a free meal of a total of four persons which would be served from a similar waiter to feel the real change in his attitude.
