Dear Mr. James,
I am writing in response to your letter asking suggestions to improve the reception area.
As high number of complaints have been recorded for last couple of days by visitors as well as company employees regarding reception area, I thought of highlighting major ones first. Most of those complaints were for the lack of sitting arrangement, which guests generally face. In addition to that, absence of reading materials for the outsiders waiting at reception has been pointed out.
Since the reception is situated at main entrance of the office building and take attention of everybody entering the premises. Therefore, gathering of the visitors at all the time doesn't look decent. Furthermore, It causes inconvenience to receptionist as well while dealing with other guests.
By considering aforementioned points, I suggest that comfortable couches or chairs should be placed in that area. Moreover, reading materials such as newspapers, magazines or journals would be of great help for outsiders waiting there to kill their waiting time.
I hope that you would take my suggestions under consideration and do the needful.
