there have been several complaints about the reception area where the visitors to your company arrive. your manage has asked for you to sugars how the reception area could be improved.
write a letter to your manager. in your letter,
-describe the complaints that have been made
- say why the reception area is important
-suggest how the reception area could be improved
Dear Mr. Debashish,
I am just writing this letter to bring to your kind notice the issue prevailing in our organisation's reception area.
The main problem with the reception area is that it does not have sufficient space for waiting. There are days when the influx of visitors, vendors and customers is high, so it is observed that due to small space, most of them have to wait for their turn standing. The another issue is that the receptionist is rude and is not properly trained on how to greet people visiting the company.
Firstly, the reception are is critical as it give the first image of the company when any outsider visit it. In other words, people visiting generates an impression of the company by the way they are treated at reception. secondly, the insufficient space in waiting area leads to frustration as they are not able to get enough space for sitting.
There are few ways through which the problem can be resolved. The first need is the appeal to the administration for expanding the reception area for providing more space for sitting. The other way is to give proper training to the receptionist and define a standard protocol for treating the visitors.
Thank you for your time and consideration.
Yours sincerely,
Hima Kacha
