Dear Mr. Johns,
I am writing to you to propose some advises regarding the reception area that you required me to come up with last week.
Some customers have been complaining about an absence of our receptionist upon their arrival. Therefore, they cannot obtain the information they need such as the location of the sales department, or working hours of a show room where products are exhibited. They had to wait for someone to assist them for a substantial amount of time. Moreover, some clients have difficulties to find the reception desk in the corner of the hall, they often head to the security instead to inquire information.
I believe a reception is the “face of the company”. It’s indispensible to create the positive first impression to customers to make them loyal and willing to cooperate with us. The current situation with reception area does not seem to attain this goal.
So I would like to suggest how the reception area can be enhanced. First of all, we need to imply strict rules on receptionist’s presence at the work place to ensure customers receive the assistance when they enter the building. Secondly, we need to locate the reception desk in the center of the hall right in front of the entrance, so visitors will not have any difficulties to find it.
