Dear Sir/Madam,

I am writing this letter in regards to seek your approval for the three-day school trip to Germany in which you want parents to along with school children.

I was planning a vacation with my wife to see my cousin in Berlin since she was studying master's course at Technical University in Berlin. I was excited after hearing the news from my child that the school is organizing a trip to Germany. Therefore, I request you to please consider me and my wife to come along with students.

Since my cousin is already residing in Berlin, I can inform her about this school trip, and I assure you she will be volunteering as a tour guide to show the beautiful destinations during the entire trip as she loves to travel. If you will approve us to come along with the pupils on the trip, I will update my cousin to make further arrangements.

If that is not too much to ask, could you please provide us the specific details such as planned dates and departure time from the Airport?

I am hoping for a positive response from your end.
