Dear Mr. Smith,
Greetings for the day!
I pleased that you give me the opportunity to advise you about the improvement in the reception area, and I am writing this letter to provide some suggestions to modify this reception area.
Several types of complaints have been made by visitors such as some complaint that the area is very congested and there is no desk to fill the forms and other documents. Further, there is only one receptionist, who is not able to attend all the persons at one time.
Reception area represents our company owing to this is an indispensable part of our organization. Along with this, all the visitors first of all visit this section and get the information about our policies so that it should be fully furnished and equipped. If the receptionist is not able to provide adequate information about our firm then how our company sales its products to the dealers.
I would like to suggest some ideas to intact the image of our firm by improving the reception area. Firstly, If we merge the adjacent room with this area then we put some sofas and chairs for the public. Secondly, could you allow us to hire another receptionist who can give hand to the first receptionist in inquiry? By doing so, complaints definitely will reduce?
Look forward to hearing from you.
Yours faithfully,
Aman
