ou want to arrange a conference for your company, and you need to ask one of your colleagues to give a presentation in this conference.

Details about the conference
Why you want your colleague to give presentation
What arrangement will you do for this conference
Dear Mr. James,
As you are aware, that lately we are working on a large an important project, that will bring a huge income for our company. Therefore, I am setting up a conference for the donors on the 20th of August 2021.
First the meeting will take place at the Central Hotel in downtown; it will be for three consecutive days from morning till afternoon. The participants number will not exceed the 30 persons, where each donor is presented by 3 or 2 of their members due to the covid 19 pandemic.
However, after checking who will be the official presenter of the conference, the HR manager and I, decided to rely on you. Due to your frequent travel to international conferences for representing our company and the experience you earned, we think you are the suitable charismatic presenter for this big event.
Moreover, some arrangements will be done from my side. An invitation was already sent to the donors. The upcoming days I will meet the Hotel manager, to check all the logistic, accommodation, IT, and catering issues. Furthermore, I will set up a time schedule for every person when and which day will demonstrate his/her project idea.
Thank you for your understanding and looking forward for your prompt support on these big days.
Regards,
