Dear Sir,
I would like to apologize for missing an important meeting which involved monthly roadmap review. This happened due to an unfortunate incident. Let me explain further.

To elucidate I was stuck in a pre-bid meeting at the client site as we had participated in a telecommunication tender. The meeting was supposed to finish at 3 pm but was extended by an additional two hours due to the unavailability of the Procurement team which was supposed to announce the winner for this bid. As you are aware that bidders are not allowed to carry communication devices like cell phones in the meeting room thus I was not able to inform of this engagement.

Meanwhile, I had a discussion with the project management team and have taken notes of the previous meeting I had missed. In order to further compensate I would like to propose another meeting next week in which we can pass on the deliverables to various stakeholders involved in this project to ensure a smooth handover from our side.

I look forward to your response so that I can send them an e-mail invite to all the stakeholders.
