Dear Mr Smith,
I am writing in response to your request of my input on improving the reception area.
As you may be aware, we are continuously receiving complaints from our visitors about the substandard conditions of the reception area. Most of the complaints pointed out the issues of dust-laden sofas and non-availability of drinking water. Also, the glass wall behind seats receives direct sunlight and makes it difficult to sit there.
The reception is the first point of contact for our visitors and if we don’t facilitate them properly then we can’t turn them into customers. I sincerely apologise but I have to mention that in long run this situation might result in loss of business which no organisation want to afford in the present day competitive market.
As a suggestion, we need to hire a professional cleaning staff for upkeep the place. Installing a water dispenser will solve the problem of drinking water. Putting a reflective glass film or blinds on the glass wall will restrict the direct sunlight and will retain the temperature. Also, we can install a television for playing our company’s promotional campaign media as visitors will get to know more about our business. Putting some indoor plants will help in balancing the atmosphere and provide clean air.
