Dear Mr. Robinson,

I write to you to bring to your notice the poor state of the office reception area. Please allow me to elaborate on the sorry state in which the reception area is currently organized.

While sifting through the pages of the complaints register, I came across a number of serious complaints from visitors and corporate clients. Many visitors have complained that upon their visit to the office premises they are met with the absence of the receptionist. And occasionally when the visitors did find the receptionist in her place they were greeted by a negative attitude and rude behavior on her part. As if to add insult to injury some visitors have reported that the reception area is often unkept and dirty. The seats are soiled and dusty making them difficult to use. The side tables have papers strewn across and the reception looks like a mess.

The Reception area is the prime interface to our corporate premises. A good reception area allows a company to leave a lasting impression to its visitors and potential clients and weave a corporate brand image. Thus, making it the epicenter of our physical presence and of at most importance.

In order to remedy this situation I would like to suggest firstly, that the receptionist either be reprimanded and re-trained or replaced. Secondly, I would request that the reception area furniture be replaced. Finally, I would like to request that the office cleaning staff be request to make multiple checks during the day to maintain order and cleanliness in the area.
I am sure that once these changes are made our visitors will be very pleased. Thus, I hope you shall take my suggestions into consideration and make the necessary changes.
