• explain the important event
• apologise for the situation
• suggest a new arrangement

Dear Freeman,
Trust you're doing well. This is to inform you that I won't be able to travel down to see you as agreed due to unforeseen circumstances, which is of utmost importance and we'll need to reschedule another meeting time.

An unfortunate incident happened during the week along Lagos- Ibadan express road that took the lives of about 20 people. My grand dad was one of the individuals who lost his life in the ghastly accident. My family and I need to organise his burial ceremony at this time.

I sincerely apologise for any inconvenience our earlier agreeement may have caused and i wish i could Stick to our agreement but i can't.

Let's shift our meeting to the 23rd of next month at the Burgundy hotel in England as I'll be free during that period. Instead of spending just two weeks with you, I would spend the rest of the month with you to make up for this change. I look forward to seeing you.

Your friend,

Jumoke.
