Dear Jade,
Hope you are doing well. I am writing to sadly inform you that I am unable to meet you at the airport as planned. Let me explain the situation.
To elucidate, unfortunately, an urgent meeting has come up in my office which involves presenting our product portfolio to customers visiting from Japan. Although I tried to skip this meeting however it seems impossible as I am the only one who has detailed technical knowledge on the products so my presence is mandatory. Additionally, after this event, I have to attend an unexpected conference call from a customer in South Africa. I hope you will understand the situation and will not be angry with me.
Furthermore, I have arranged a taxi for you which will arrive at the airport by 5 pm. The driver has your contact details, therefore, he will call you when you reach the arrival gates. The taxi will drive you back to my home where you can relax. Later in the evening, I plan to take you to the city centre for a nice dinner and shopping.
I wish you a safe journey and hope to see you soon.
