Dear Emma,

How are you? Hope you are doing well. I am writing this letter concerning our meeting in Calgary on October 23rd, and I promised you that I will arrive in the second week of the next month. Unfortunately, I am afraid something has come up here which will influence this plan to Calgary.

Last week, my boss told me that I have to attend a business meeting at his house with his family member on October 22nd. It was completely unanticipated. I am sorry, yet it means that I cannot able to visit you as we planned, and I must attend this meeting for the whole month.

I wonder to visit you at the beginning of November if it is possible for you. I can take some time off for at least two weeks. Also, my air ticket can change the date that will be no problem. Is this date available for you? Please let me know if the date is convenient for you or we can change another date which both of us can work with.

Best wishes,
Jane
