Dear Mr. Smith,

Hope you are doing well.

I am writing this letter to inform you that I will not be able to take part in an interview which has been scheduled by you for Friday at 11am. I may have never missed the chance of an interview, but, sadly, I have an other appointment booked for the same day that is not easy for me to cancel. It is a meeting with heart specialist regarding the health of my mother and I was waiting for it from last 3 months.

Also, it will be grateful if you can conduct another session on some other day. So, that I will be able to join this. I am also concerned about the total time required for this task and if this question answer session will be followed by tests or not? I will be so happy to get all this information and then prepare my timetable in advance.

Once again, I really apologies for the inconvenience caused and appreciate your help in this matter. I will be waiting for your prompt reply.
