Your friend had made a plan for you to see a movie together but you cannot join him. Another friend of yours is willing to go.
Write a letter to your friend. In your letter:
-explain why you go anymore
-say who can go instead of you
-say why this person is a good person to go with

Dear Ankita,

I hope you are doing well. However, I wanted to inform you that I’ll not be able to join you for a movie because I’ve to go out of town to attend a business conference.

I understand after reading this, you’ll be sad and angry at me because I said yes to you that I’ll join you for a movie on coming Saturday, but this conference is necessary for my company because I’m going to present our services and they selected me to go on this conference. This kind of opportunity comes rarely, so I had to give priority to the business conference instead of going with you to this movie. I’m sorry but you know work comes first and this is the only chance to get my promotion.

Besides, you can go along with my friend who is also my roommate. Her name is Angelina, and she didn’t had any plans for the weekend. I could ask her to come along with you for a movie night if you will be comfortable, and after that, you can go out for a couple of drinks since you both like to hang out in clubs and bars along with the music. Angelina is just like you, you will feel happy to meet her.

I hope you will understand my situation of canceling the movie night, but after coming back I’ll take you out for a dinner at your favorite Italian restaurant.

Looking forward to meeting you on my return.
Regards,
Shwatank
