Dear Sam,
I trust this letter finds you in good health and high spirits. I intend to write this letter to express my sincere apologies as i regret to inform that i will not be available at home to stay with you when you have planned to come.
I have been recently assigned with an unavoidable project which is at its crucial stage. Being a project team leader, i have to prepare a sensitive presentation which needs to be presented in front of top management in a week’s time. The task has a nature that i cannot either reschedule or assign it to any other member of the team. I am excited to spend time with you do a long due catch-up. However, situation is critical and i cannot really do much about it.
However, i would like to present an alternative solution to you to handle the situation. How about we plan our time together on 25th Dec instead of 22nd Dec? I am certain you have holidays after all its a Christmas evening. We can do a lot of activities together followed by a movie night.
Once again, please accept my apologies and consider the substitute suggested. I look forward to your confirmation on the alternate plan.
