3. tell the manager what you want him/her to do
Dear Sir or Madam,
I am writing this letter to request your help in retrieving some of the important documents that I had mistakenly left in your Begumpet Hotel branch last Thursday. I am Madhulika, finance executive of Ziya company and had attended Impact of Economy in Private Sector conference conducted previous week.
Let me first provide details where I believe left the documents in the hotel. I remember that I had the documents with me when we were being escorted to the Lotus banquet hall. I am not sure about the row number of my seat location however, the documents must have fallen down from my lap when I left the hall for lunch.
Adding further to the above, I would like to tell you that the documents are of utmost importance to me and my company. The papers are the financial report of the company performance this quarter and are extremely confidential. The papers are inside a sealed yellow envelope marked "Private". They need to be presented in the upcoming management meeting which will be held next week.
Lastly, I would like you to check with your lost and found department if they have received any sealed yellow envelope and conduct a thorough search in the Lotus banquet hall. Also, if the documents are found, could you please call me in my mobile number. I had entered my mobile number in the register at the reception counter during registration process. I am extremely sorry for the inconvenience that I am causing to you.
Yours Sincerely,
Madhulika Banerji
