There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.
• describe the complaints that have been made
• say why the reception area is important
• suggest how the reception area could be improved
Dear Mr. Hasani,
I am writing with regards to the recent complaint about the reception sector. As you know, the first place which visitors attend is the reception area at the entrance of the company and is considered to be the start point for our customer. In fact, this area and its performance could play a critical role in visitor satisfaction.
The first and the main problem that has been arisen is related to the way that staff treats to visitors. Most of the visitors’ compline that there is no one to answer their question and guide them. Another problem is defined by the absence of guidance sign such as a map of the company.
It is clear that in order to attract more customer, we should provide a positive attitude for new visitors. As I said, the reception area can be one of the most important parts of the company, as it is the first place in our company when visitors enter.
To improve the function of this sector, there are some effective suggestions. At first, our staff should be trained on how to behave and how to treat in front of new visitors. Another thing is providing some beneficial booklet and brochure about our company, our products, introducing management team and also, a detailed map which included different parts of the company.
I look forward to hearing from you and have your comments.
Yours sincerely,
Yalda Asgari.
